An international Family Office is seeking an Executive & Office Administrator to become a trusted right hand to the Principal and provide comprehensive support across both personal and business matters.
This is a hands-on position for a highly organized, proactive and discreet professional who thrives in a dynamic environment and is capable of balancing executive support, administrative coordination, document management and basic financial administration. The role combines Personal Assistant and Office Administration responsibilities, requiring excellent judgment, strong communication skills and the ability to anticipate needs before they arise.
The successful candidate will work closely with the Principal, family members and external advisors, ensuring that day-to-day operations run smoothly while maintaining the highest standards of confidentiality and professionalism.
Main responsibilities:
- Manage the Principal’s calendar, meetings, appointments and daily communications;
- Coordinate business and personal travel arrangements, including bookings, itineraries and logistics;
- Handle personal and family-related matters, including coordination of medical appointments and various service providers;
- Liaise with external advisors, legal counsels, accountants and other professional partners;
- Maintain and develop structured archives of personal and corporate documentation, including agreements, corporate records, powers of attorney and asset-related documentation;
- Monitor document validity periods and ensure timely renewals when required;
- Organize and oversee document flow, filing systems and administrative processes;
- Maintain incoming invoice registers and payment tracking records;
- Monitor payment statuses and reconcile information with personal and corporate bank statements;
- Cooperate with external accountants and financial advisors regarding administrative and financial matters;
- Provide ongoing administrative support for Family Office operations and assist in improving internal processes where necessary.
Requirements:
- Minimum 3 years of proven experience in a Personal Assistant, Executive Assistant, Office Manager or similar administrative support role;
- Experience supporting senior executives, business owners, board members or high-net-worth individuals;
- Previous exposure to family office environments or supporting family-related matters would be considered a strong advantage;
- Excellent organizational and time-management skills with the ability to manage multiple priorities simultaneously;
- Strong attention to detail and ability to maintain accuracy while working in a fast-paced environment;
- Ability to work independently, take ownership of responsibilities and proactively solve problems;
- High level of discretion and ability to handle confidential information;
- Strong communication and interpersonal skills;
- Emotional maturity, professional judgment and understanding of personal boundaries;
- Excellent written and verbal communication skills in English and Latvian;
- Proficiency in Microsoft Office applications, particularly Word and Excel.
